Our company is currently seeking employees to fill the position as Receptionist cum Administrative Officer (On-Site). About the Job

In this role, you will perform the day-to-day admin operation, including but not limited to attending to visitors, answering calls for the office, courier management, centralized purchasing, pest control, janitor management, company branding and assisting in events management. This position is also required to manage the calendar of MD preparing for and scheduling meetings (including off-site and on-site), processing expense claims, and coordinating travel arrangements if any.

Key Responsibilities

Perform reception duties such as –

a. Answering, screening, and directing all incoming calls to the appropriate personnel and responding to queries.

b. Attending to incoming guests henceforth liaising with pantry ladies for refreshments if necessary.

c. Maintain front desks and meeting rooms in a neat and presentable manner.

d. Collection, receive and distribution of all mail/documents.

e. Manage the Company’s local and overseas courier services including franking of mail.

f. Screen & dismantle faxes.

Manage centralized purchasing such as office supplies, office equipment, office furniture, pantry items, etc –

a. Source, evaluate, negotiate, and purchase goods.

b. Identify opportunities and implement actions to reduce overall costs.

c. Monitor vendors on their on-time delivery performance, quality, and price inflation.

d. Communicate with vendors on issues related to poor performance or feedback.

e. Ensure all purchasing activities are with approved authorities, compliance and conformance to governance and understanding the risks of non-compliance.

Manage Company facilities maintenance which includes but not limited to –

a. Liaise with building management or vendors on providing facility maintenance.

b. Repair and maintenance of copiers.

c. Manage office pest control and cleaning.

d. Manage office plant maintenance.

Manage Company’s branding such as reviewing artwork, and printing –

a. employee cards, name cards, envelopes, letterheads, name plates, lanyards, etc

Invoices management in a timely manner, keeping accurate records for audit purposes.

System support includes but is not limited to –

a. New vendors registration

b. Raise purchase requisitions.

c. Perform good receipts.

Event management –

a. Assist in organizing company events or employee engagement programs to create a conducive work culture for employee bonding such as town halls, meetings, workshops, Dinner and Dance, birthday parties, meetings, etc.

b. Support and coordinate meeting room booking and set up for on-site/off-site meetings.

Secretarial support to EMD

1. Manage EMD’s diary which includes all internal and external meetings and calls in Microsoft Outlook / TEAMS. Accurately capture all time zones, prioritize, and re-arrange where necessary. Anticipate diary conflicts and actively engage with the EMD’s to resolve them, if any.

2. Co-ordinate travel arrangements for EMD including booking flights, accommodation, visas, preparation of itineraries, and liaising with overseas clients where appropriate, consistent with the company’s travel and expense policy, if any

3. Process EMD’s expense claims accurately and in line with company policy if any.

Others:

a. Create and edit presentations, agendas, spreadsheets, communications, databases, and reports as needed/requested.

b. Support travel arrangements including booking flights, accommodation, and visas arrangement if any.

c. Assist to issue and manage Company keys and security cards such as door access system.

d. Support and coordinate the company addition and alternation work.

e. Generate and update reports.

f. Other adhoc duties as assigned.

Formal Qualifications

• GCE A or tertiary educated.

Key Skills / Core Competencies

• Proficiency in MS Office (MS Excel and MS Word, in particular)

• Able to multi-task, meticulous, committed, and a good team player.

• Excellent interpersonal and communication skills

• Must be prepared to work in a growing organization, be results-oriented, with a high level of integrity and dependability.

• Ability to operate independently with minimal guidance.

• Knowledge using SAP experience preferred.
