Executive Assistant (Construction)

Primary Objective

Providing high-level administrative support to executives, project managers, and other senior staff.

Play a crucial role in ensuring smooth operations and effective communication within the organization

Key Activities

Calendar and schedule management:

Manage the executive’s calendar, schedule meetings, appointments, and coordinate with internal and external stakeholders to ensure efficient use of their time.

Travel arrangements:

Make travel arrangements, including booking flights, accommodations, transportation, and preparing itineraries for executives or project teams.

Communication and correspondence:

Handle incoming and outgoing communications on behalf of the executive, including emails, phone calls, and written correspondence. Prioritize and respond to messages in a timely and professional manner.

Meeting coordination and support:

Arrange and coordinate meetings, including preparing meeting agendas, taking minutes, distributing materials, and organizing logistics. Follow up on action items and ensure timely completion.

Document management:

Organize and maintain confidential documents, contracts, project reports, and other construction-related files. Ensure proper version control and accessibility of documents when needed.

Presentation and report preparation:

Assist in preparing presentations, reports, and other materials for meetings, client presentations, and project updates. Coordinate with other departments or team members to gather necessary information.

Data analysis and research:

Conduct research and compile data on construction-related topics, market trends, competitors, or regulatory requirements. Prepare reports or summaries for executive review.

Budget and expense management:

Assist in managing budgets, track expenses, and process invoices. Ensure adherence to financial policies and procedures.

Relationship management:

Build and maintain positive relationships with internal and external stakeholders, including clients, contractors, suppliers, and other industry professionals. Serve as a point of contact for inquiries or requests.

Project coordination:

Provide support in coordinating construction projects, including tracking project timelines, milestones, and deliverables. Liaise with project teams, monitor progress, and assist in resolving any project-related issues.

Event planning and coordination:

Assist in planning and organizing company events, conferences, or industry-related functions. Coordinate logistics, handle registrations, and ensure a smooth execution of events.

Confidentiality and discretion:

Handle sensitive information and maintain confidentiality in all aspects of work, especially when dealing with contracts, financial data, or personnel matters.

Miscellaneous administrative tasks:

Perform various administrative tasks as required, such as managing office supplies, processing expense reports, arranging office maintenance, and supporting other team members as needed.
