We have specific requirements for each of our employees as well as potential workers, because we are a professional and knowledgeable business in the field we work in. We are interested in hearing from you as soon as possible if you have expertise in the fields Admin/Human Resources & Secretarial/Executive Personal Assistant and possess a Higher Secondary/Pre-U/'A' Level, Diploma, & Advanced/Higher/Graduate Diploma or higher.

We offer you a fairly competitive salary that can be adjusted depending on the credibility you can contribute to our company. It typically ranges from SGD 3.000 - SGD 3.400 and likely to change at any time. This salary negotiation must be agreed based on our company's HRD agreement.

Our client, a leading APAC System Integrator for Broadcast and AV, is looking for a Personal Assistant to join their Team to provide secretarial and personalised support to the Managing Director and provide administrative support to Sales & Marketing Departments.

As a Personal Assistant to attend to MD’s personalised support, your responsibilities are:

  • to attend to the MD’s needs and requirements.
  • to manage the MD’s personal matters (vehicle, housing, insurance, travel, banking, etc.).
  • to liaise with the MD’s family members and assist where necessary.
  • to research, recommend and purchase items required by the MD and family members.
  • to engage and co-ordinate vendors, suppliers and stakeholders to complete tasks assigned.
  • to organise and/or attend family functions when required.
  • to maintain proper records of purchases, arrangement, documents and petty cash.

To provide secretarial support, your responsibilities are:

  • to perform day-to-day administrative tasks assigned to you.
  • to coordinate with various stakeholders to manage Managing Director’s calendar for appointments, meetings, events and functions.
  • to take and circulate minutes of meetings and ensure follow-up actions in the minutes are carried out.
  • to make arrangements for the MD’s business trips including but not limited to itinerary planning, flight, hotel, transportation, reservations, currency and business meetings.
  • to maintain proper records of MD’s monthly expenses claims and submit it accordingly.
  • to maintain proper records of documents, events and articles of the Corporate Department.
  • to draft and proof-read emails and letters on behalf of the MD.
  • to receive and attend to all of the MD’s guests.
  • to update MD’s contacts database.
  • to liaise with business partners, stakeholders and all other parties for tasks assigned.

To provide sales & marketing support, your responsibilities are:

  • to participate and provide support to all Marketing events and functions.
  • to maintain proper records of documents, events and articles of the Marketing Department.
  • to assist in preparing and updating presentation slides and reports.
  • to assist in managing the company’s social media accounts and marketing articles (corporate profile, brochure, website, etc.).

What you would bring along:

  • Minimum Diploma-holder in any field
  • At least 1-year Personal Assistant experience, preferably reporting to C-suite and/ or equivalent.
  • At least 1-year corporate administrative/ secretarial working experience.
  • Ability to work in a dynamic and fast-paced environment.
  • Good interpersonal, communication and written skills.
  • Friendly and Outspoken personality.
  • Ability to take on tasks independently and efficiently, producing quality results.
